1. Who we are

Trend Wise Investment Group Pty Ltd, ABN 19 111 870 501, Australia, operates Vale Booklet. This notice applies to our website and services, wherever they are hosted. Our brand domain is valebooklet.com. Contact privacy@valebooklet.com about privacy.

This policy covers booklets, service slideshows and funeral-home collaboration. For family data supplied by a funeral home, that home is the controller and we process the data on its behalf. We are the controller for our account administration, support, billing and security activities. A DPA is available on request.

2. What we collect

  • Account email, sign-in identifiers and any name or account details you provide.
  • Booklet names, dates, biographies, service details, photographs and other information about the deceased, which can also reveal information about living family members, beliefs or relationships.
  • Family collaborator names, emails, relationships, permissions, comments, suggestions and proof approvals, including who signed off and when.
  • Slideshow photos, captions, text, uploaded music, file information and photo date metadata used for sorting.
  • Service-visuals data you supply, such as lyrics you type, venue type, venue upload deadline and slide settings, where those features are available.
  • Notification preferences and records of emails we send, including sign-in links, invitations, proof-sent messages and optional venue deadline reminders where available.
  • Payment records from Paddle, such as amount, date, status and transaction or receipt references. Paddle collects billing details directly, including name, email, billing country/postcode and a business tax ID where provided. Paddle acts as the merchant/seller of record and handles your card details directly; we never see or store card numbers.
  • Basic usage and analytics, device/browser information, technical logs, country selection and interactions needed to maintain the service.

We collect information you enter or upload, information supplied by authorised funeral-home staff or family collaborators, and limited information from sign-in and service providers. Please share only information needed for the booklet or slideshow and obtain appropriate permission for living people’s information.

3. Why we use information

We use information to create and save booklets and slideshows, generate proofs and downloadable files, enable invited collaboration and sign-off, remember your country and paper preferences, provide support, manage subscriptions and billing, prevent misuse, secure accounts, improve reliability and meet legal obligations. We do not use your family content for advertising.

4. EU and UK legal bases

Where the GDPR or UK GDPR applies, we rely on performance of a contract to provide requested services, legitimate interests for proportionate security, support and service improvement, legal obligations for required records, and consent where required. You can ask about or object to processing based on legitimate interests.

If living people’s sensitive information is included, an appropriate additional legal condition is required, such as explicit consent where applicable. Do not upload unnecessary sensitive details. A funeral home determines the lawful basis for family data it controls; we act under its instructions.

5. Who receives information

We share only what is needed with our hosting, database and storage provider; our email delivery provider for transactional emails, including sign-in links, invitations, proof-sent messages and optional deadline reminders; other selected sign-in providers; Paddle when you make a purchase; and providers supporting essential operations. Our service providers are subject to appropriate confidentiality and processing arrangements.

Paddle is an independent controller for payment, tax and fraud-prevention processing as merchant of record, including subscription management and invoicing. See Paddle’s Privacy Notice for how it handles your information.

When a booklet is created through a funeral home, authorised staff and invited family can see information according to their permissions. Contact the home if you have questions about its use of your information. We may also disclose information where legally required, to protect rights and security, or during a business transfer with appropriate safeguards and notice.

We do not sell personal data. We do not sell or share personal information, including for cross-context behavioural advertising as those terms are used in California law.

6. International transfers

Our providers may process or store information outside Australia and outside your country, including in the United States or other countries where they operate. Laws may differ from those in your location. Where required, we use appropriate safeguards, including contractual protections, EU standard contractual clauses and the applicable UK transfer mechanism. Ask us for information about relevant providers, locations and safeguards.

7. Retention and deletion

Our proposed retention schedule, subject to this legal review, is to retain account and uploaded content while the account is active, and normally delete or de-identify it within 90 days of account closure or a verified deletion request. After a funeral-home subscription ends, its stored content is normally retained for up to 90 days to allow an arranged export or reactivation, then deleted or de-identified unless another lawful basis requires retention.

Generated PDFs and any service-stored video exports are kept while the account is active, subject to deletion requests. Videos rendered and downloaded locally remain on your device rather than being automatically stored by us. The 30-day purchase edit window is an access entitlement, not a promise to delete content on day 30.

We may retain billing and legally required records for up to seven years, and limited security logs for up to 12 months, or longer where a specific law or unresolved dispute requires it. Residual backup copies may persist for up to 90 days after operational deletion and are not used for ordinary access. Deletion from our service cannot remove copies already downloaded by you, the funeral home or collaborators.

Contact us to request deletion or export. Where a funeral home controls your data, we will assist it with your request and may direct you to it. These proposed periods are policy commitments under review, not a statement that automated deletion is currently enabled.

8. Security

We use private media storage, access controls, authenticated access and restricted download links for protected files. Access to booklets is limited to owners, authorised funeral-home members and invited collaborators. No system is completely secure; protect your email sign-in links and tell us promptly if you suspect unauthorised access. Public sharing, where explicitly chosen, can expose content to others.

9. Your privacy rights

Subject to applicable law and proportionate identity checks, you may request access, correction, deletion or an export of your information by emailing privacy@valebooklet.com. We respond within the applicable legal time limits and explain any lawful exception.

  • Australia: you may seek access and correction and complain about handling of personal information under the Australian Privacy Principles where applicable.
  • EU and UK: rights may include access, rectification, erasure, restriction, portability, objection, withdrawal of consent without affecting earlier lawful processing, and a complaint to your supervisory authority. We do not use your information for decisions based solely on automated processing with legal or similarly significant effects.
  • US states, including California (CCPA/CPRA): where applicable, you may request to know/access, correct or delete information, obtain a portable copy, and opt out of sale or sharing or certain profiling. We do not sell or share personal information and do not use sensitive personal information beyond permitted service purposes. We will not discriminate against you for exercising rights. An authorised agent may submit a request with proof of authority.

If a request is denied, you may ask us to review it or appeal where state law provides that right. Rights are subject to applicable exceptions, including legal recordkeeping and the rights of others. For funeral-home-controlled content, the home is responsible for responding and we assist it.

10. Cookies and local storage

We use essential cookies or browser storage for your sign-in session, country preference and a user-and-booklet-specific recovery cache to help prevent lost edits. Basic usage measurement does not use advertising cookies. We do not use advertising cookies or cross-site advertising trackers. You can clear or restrict browser storage, but doing so can sign you out, reset preferences or remove unsaved recovery data.

Paddle’s checkout may set cookies or use similar technology needed for payment security and fraud prevention. Location inferred from your IP address may be used to show local prices and apply tax. Restricting essential checkout technologies may prevent a payment from completing; see Paddle’s Privacy Notice for further details.

11. Children

The service is not directed at people under 18 and accounts must be used by adults. Adults may include a child’s information in memorial content only where appropriate and with the required authority or permission. Contact us if a child has created an account or submitted information without appropriate authorisation.

12. Complaints and updates

Please contact us first at privacy@valebooklet.com so we can investigate. Australian users may complain to the Office of the Australian Information Commissioner (OAIC). EU/UK users may contact their relevant supervisory authority; US users may contact the authority responsible for their state’s privacy law.

We may update this policy and will change the last-updated date. We will provide appropriate notice of material changes and obtain consent where legally required.
